Connected trade operations

Export documentation software that connects PI, CI and packing lists

Prepare connected pro forma invoices, commercial invoices and export packing lists with reusable customer, product and source-document data.

The pro forma invoice, commercial invoice and packing list describe different stages of the same transaction. WorkWiseInt lets teams reuse customer, product and source-document context while keeping each document separate for review.

Prepare each document for its own purpose

Pro forma invoice: propose the sale

A pro forma invoice presents the products, expected quantities, prices and commercial terms before the final sale. In WorkWiseInt, users can select a customer, add product lines, choose currency, enter payment and delivery terms, set validity and add notes.

The saved record has a print-ready output. It remains a proposal, not a final tax invoice or proof that goods were shipped.

Commercial invoice: record the final transaction

The commercial invoice reflects the actual sale and is commonly used for payment and customs-clearance processes. Users can bring selected PI lines into the CI workflow, retain source references and review the final quantity, unit price, charges, currency and terms.

Reusing the source helps consistency. It does not remove the final review or create an automatic legal conversion.

Packing list: describe the physical cargo

The packing list explains how the invoiced goods are distributed across packages or transport units. WorkWiseInt can start from commercial-invoice lines and capture quantities, package details, marks, dimensions, volume and net/gross weights.

The packing list does not replace the commercial invoice. The team should reconcile quantities and shipment references across both.

How to prepare an export packing list

Reuse data without hiding the differences

Connected document preparation should reduce repetitive entry while leaving each record clear.

  1. Select the customer and build the proposed PI.
  2. When the transaction is confirmed, import the relevant PI lines into the CI.
  3. Review final quantities, values, charges and commercial terms.
  4. Use the CI lines as the basis for package-level packing work.
  5. Check document numbers, party names, item descriptions, units and totals before release.

If a quoted quantity changes before the final shipment, the user can adjust the CI line quantity after import and review the result. This is manual document preparation; it is not presented as automated partial-shipment planning or balance tracking.

Fields WorkWiseInt supports

WorkWiseInt can help users organize:

  • customer and contact context;
  • product descriptions, quantities, units and prices;
  • currencies, payment terms and delivery terms;
  • PI validity and notes;
  • CI source references and final values;
  • package numbers, marks and item allocations;
  • dimensions, volume and net/gross weights;
  • print-ready previews.

Requirements that still depend on the shipment

No single software form can determine every destination-country requirement. Depending on the goods and route, the transaction may also need HS classifications, origin evidence, licenses, certificates, transport documents, bank wording, declarations or electronic submissions.

WorkWiseInt does not file customs declarations, issue certificates of origin, create bills of lading or guarantee legal compliance. Confirm the real shipment with the buyer/importer, customs broker, freight forwarder, bank and relevant authorities.

Access and permissions

The PI, CI and packing-list modules are included in the paid-plan module set. A workspace's subscription does not automatically give every member the same actions. Roles and user permissions can still limit viewing, creation, operation or administration.

Frequently asked questions

What export documents can I prepare in WorkWiseInt?

WorkWiseInt supports pro forma invoices, commercial invoices and packing lists, with source reuse and print-ready outputs.

Does the software convert a pro forma invoice automatically?

Users can select and import PI lines into the CI workflow, then review and edit the final invoice. The two documents remain separate records.

Can I change the quantity on the commercial invoice?

Yes. Imported line quantities can be reviewed and changed for the final invoice. WorkWiseInt is not described here as automatically managing partial-shipment balances.

Does WorkWiseInt validate customs requirements?

No. Requirements vary by destination, product and transaction. The relevant trading parties and authorities must confirm them.

Is a packing list the same as a commercial invoice?

No. The packing list describes physical packing; the commercial invoice records the sale and value.

Prepare PI, CI and packing-list records from connected customer, product and source-document context.
