Connected trade operations

Purchasing and supplier management software from request to receipt

Connect requisitions, RFQs, supplier quotations, comparisons, awards, purchase orders and receipts in one controlled purchasing workflow.

Purchasing breaks down when requests, supplier quotes, approvals and receipts cannot be traced to the same decision. WorkWiseInt connects the process from purchase need and RFQ through comparison, award, purchase order and receipt.

Purchasing, Suppliers and Supplier Accounts are Pro capabilities. Member permissions still determine who can prepare, review, approve or administer each step.

Start with a clear purchase need

A purchase requisition records what the business needs before it commits to a supplier. It can capture request and needed-by dates, department/project/budget context, reason, notes and goods or service lines.

Draft, submission and approval states help separate an internal request from an authorised purchase. The responsible buyer still reviews the commercial and operational need.

Send suppliers a consistent RFQ

Define comparable lines

Build the RFQ around clear product or service descriptions, quantities, units and commercial context. Select the invited suppliers from the supplier records available to the user.

Control supplier invitations

Supplier-response links are tied to invitation tokens that can be rotated or revoked. Dispatch records support controlled preview, sending and follow-up actions.

Keep quotations as distinct records

Supplier quotations can be revised and validated without overwriting the RFQ itself. Attachments and import-preview steps can support the review process.

A supplier response is still supplier-provided information. The buyer must verify price, unit, lead time, tax, freight, validity and commercial terms.

Compare quotes before awarding

Headline price is only one part of a responsible decision. A comparison may also consider:

  • currency and exchange-rate context;
  • unit of measure and quoted quantity;
  • freight, tax and other charges;
  • promised delivery;
  • payment terms;
  • quote validity;
  • exceptions, missing lines and alternatives.

WorkWiseInt keeps comparison and award decisions connected to the underlying supplier quotes. It does not select a supplier autonomously or guarantee that the lowest price is the best commercial outcome.

Create and control the purchase order

The selected award can feed the purchase-order process. Purchase orders use statuses and revisions so the team can identify the effective commercial record.

Before dispatch, check:

  • supplier identity and address;
  • product/service descriptions and units;
  • quantities, prices and currency;
  • delivery location and date;
  • freight, tax and payment terms;
  • approval and revision status.

Record what was received

Goods receipts

Receiving can capture delivered goods against the purchase order and support inspection-related outcomes where needed. The receiving team compares what arrived with the active PO rather than relying on an email attachment.

Service acceptances

Service lines can be accepted through their own evidence and period context instead of being treated like stock.

Supplier financial records

The broader purchasing flow includes supplier invoices and related credit, return, refund and settlement records. These are controlled records, not a claim of full general-ledger accounting or universal tax compliance.

Why traceability matters

A visible decision chain

The team can follow the request, RFQ, quote, comparison, award, order and receipt instead of reconstructing the decision later.

Clear responsibility

Plan entitlement opens the module for the workspace; member permission separates preparation, operation and approval responsibilities.

Better exception handling

Revisions, discrepancies, receipts and related records stay linked to their source context.

What this page does not promise

WorkWiseInt is not presented as:

  • an autonomous sourcing agent;
  • a global supplier marketplace;
  • a supplier-certification or sanctions-screening service;
  • full ERP accounting;
  • universal tax, procurement or audit compliance;
  • a guarantee of supplier response, price, quality or delivery.

Teams remain responsible for supplier due diligence, commercial approval and local legal requirements.

Frequently asked questions

Which plan includes purchasing?

Purchasing, Suppliers and Supplier Accounts are included with Pro. A Pro workspace still controls each member's permissions.

Can suppliers respond without a normal member account?

The RFQ process supports controlled supplier-response links tied to invitations. The implementation team must preserve the existing transactional route and noindex behavior.

Can WorkWiseInt compare supplier quotations?

Yes. Quotes can be brought into a comparison and award process. The buyer remains responsible for the decision.

Does it support goods and services?

The purchasing flow distinguishes goods receipts from service acceptances.

Is WorkWiseInt an accounting system?

It supports purchasing and supplier-related records, but this page does not claim full general-ledger accounting or universal tax compliance.

Connect the purchase request, supplier response, decision, order and receipt in one inspectable workflow.
